How to Set Up Business Domain Email in cPanel: Accounts, SPF, DKIM and DMARC
Business email on your own domain takes three steps in cPanel: create the mailboxes, connect them to your phone and desktop mail apps, and publish SPF, DKIM and DMARC records so receiving servers trust your mail. The third step is the one most businesses skip, and it is the main reason mail lands in spam.
Step 1: create email accounts
- Open Email Accounts in cPanel and choose Create.
- Pick the domain, the address (for example sales or accounts) and a strong password.
- Set a storage quota so one mailbox cannot fill your plan's storage.
- Create role addresses such as sales@ and support@ as forwarders to real people if you do not need separate mailboxes.
Starter Pro includes five email accounts. Business Pro Hosting and Enterprise Pro Hosting include unlimited email accounts.
Step 2: connect your devices
cPanel's Connect Devices option shows the incoming and outgoing server names and ports for each account. Use IMAP rather than POP so mail stays in sync across phone, laptop and webmail, and use the secure (SSL/TLS) ports.
Step 3: authenticate your mail
Receiving servers check whether a message really came from your domain:
- SPF (RFC 7208) lists the servers allowed to send mail for your domain.
- DKIM (RFC 6376) adds a cryptographic signature that proves the message was not altered.
- DMARC (RFC 7489) tells receivers what to do if SPF or DKIM fail, and where to send reports.
cPanel's Email Deliverability page checks SPF and DKIM for each domain and can install the suggested records when your DNS is managed in cPanel. If your DNS is managed elsewhere, copy the records it shows into your DNS provider.
Step 4: add DMARC
Start with a monitoring policy:
_dmarc.example.com. TXT "v=DMARC1; p=none; rua=mailto:dmarc@example.com"After a few weeks of reports showing your legitimate mail passes, move to p=quarantine, and later p=reject.
Verify
- Send a message to a Gmail and an Outlook address and check it arrives in the inbox.
- View the original message headers and confirm SPF, DKIM and DMARC show pass.
- Reply from the external address and confirm it reaches your mailbox.
Common problems
- Mail in spam: usually missing or wrong SPF or DKIM, or a website contact form sending as an address on another domain.
- Two SPF records: a domain must have only one SPF TXT record. Merge them.
- Bulk sending: shared hosting is for business correspondence. Use a dedicated newsletter service for marketing mail.

Website forms and email
Contact forms often send mail that looks like it comes from the visitor's address, which fails SPF and DMARC and lands in spam. Configure your form plugin to send from an address on your own domain, such as website@yourdomain, and put the visitor's address in the Reply-To header instead.
Security for mailboxes
- Use a unique, strong password for every mailbox and change it when staff leave.
- Remove mailboxes for former employees, or convert them to forwarders to a manager.
- Watch for unexpected forwarders or filters, which are a common sign of a compromised account.
- Keep mail apps and phones updated so they use current, secure connection settings.
Reading DMARC reports
The reports sent to your rua address list which servers sent mail as your domain and whether each passed. If you see a legitimate service failing, such as an invoicing or newsletter tool, add it to SPF or set up its DKIM before tightening the policy.
Frequently asked questions
Can I use my domain email in Gmail?
Yes. Add it in the Gmail app using IMAP settings from cPanel, or keep using webmail.
How much storage does email use?
Mailboxes share your plan's NVMe storage with your website. Set quotas and archive old mail.
What about a shared inbox for the team?
Create one mailbox such as sales@ and give access to the people who need it, or use forwarders to deliver copies to several people.
